How Aspire used OneUp to 2x their qualified  pipeline in 12 months

Aspire Recruitment Group is a global specialist recruiter in Life Sciences and Technology. With offices in Dubai and the UK, they place talent across BioTech, MedTech, defence, cyber and emerging tech.

The Problem

A tale of two offices...

Aspire had the specialism, the talent and the ambition - all that was missing was a single, shared view of how the business was performing.

With consultants split between Dubai and the UK, leadership faced a challenge every multi-site recruiter knows:

How do you build one culture - and one set of standards - across offices that rarely share a room, let alone a time zone?

They'd already switched to Loxo for its ease of use - a deliberate move to improve CRM adoption. But even then, the data going in was still patchy.

That meant reports no one fully trusted. Leaders couldn't see what was working. Consultants couldn't see their own progress. And the competitive streak that makes recruitment teams tick had nowhere to live.

“The CRM is only as good as the data that's been put in. OneUp is helping people understand the value of why they're putting that data in, and what it means to them.”

The symptoms were familiar:

  • Reports that didn't engage the team
  • Offices that felt disconnected
  • Difficulty spotting coaching and training opportunities
  • No easy way to celebrate wins - or show them off

Something had to change...

The Promise

A platform that makes winning contagious.

Aspire started using OneUp back in July 2024 with three clear priorities:

  • Improving data visibility
  • Enabling real-time KPI tracking, and
  • Introducing gamification that could unify their Dubai and UK offices.

After two onboarding sessions with their dedicated CSM, the team got to work.

Bringing the business to life on-screen
OneUp's TVs now run in both offices, broadcasting live leaderboards, KPIs and culture moments - from work anniversaries to placement alerts, each win blasting that recruiter's chosen anthem.
When a CV goes out in Chelmsford, Dubai sees it. When a deal closes in Dubai, Chelmsford celebrates.

Gamification that reinforces the right behaviours
Aspire now run a themed BD day once a month, complete with its own league on the big screen. Tetris. Monopoly. Block-building. Each led by a different consultant, each tying points back to real BD activity in the CRM. The prizes are modest - the engagement isn't.

"We often have a team chat running alongside the competitions - people backing each other, having a laugh. Building that engagement across two different countries and two different cultures has been brilliant."

Dashboards and reporting that complement Loxo
Aspire's CRM handles process, candidate care and client management brilliantly. OneUp brings that data to life by making reporting effortless, digestible and easy to act on. It also surfaces training gaps: if interviews aren't being logged, leaders can see and address it quickly.

The Results

When recruiters can see it, they chase it.

Revenue is the headline. But dig into the activity metrics and you see why it's grown - because the quality of the activity has improved.

CVs aren't just going out in greater numbers - more of them are converting. More 1st interviews are turning into placements, and placements are also worth more.

Daily usage backs it up: on average, consultants login 2.4x per day, every day. OneUp isn't just a tool they remember to check - it's where the work happens.

And beyond the stats, it's become part of the culture.

The teams may rarely meet in person. But they compete, celebrate and collaborate like they're in the next room over.

For leadership, OneUp also surfaces the signals that would otherwise stay buried. If first interviews dip, they know about it. If someone's not logging the right activity, it's seen and addressed before it becomes a long-term issue.
